Office Assistant Volunteer Expectations
Program: Administration, Volunteer program and Open Lands
Location: The Bison Visitor Center at Carter Lake
Reports to: Program Supervisor
ROLE
An Office Volunteer donates their time assisting staff in the office by performing a variety of duties including clerical tasks or computer entry. They also provide excellent customer service to the public.
DUTIES
Duties vary, but may be a combination of the following:
- Answer telephones and greet visitors
- Process information requests
- Sell park permits
- Assist with mailings
- Make phone calls
- Interact with visitors. Holiday volunteers may serve cookies and coffee.
- Respond to requests for information on park regulations, procedures, and policies; refer complex situations to appropriate staff
- Maintain database records and logs
- Assist office staff with special projects like cataloging photos, filing newspaper clippings, counting money
- Make photo copies, assemble manuals and purge files
- Computer projects available for volunteers who are interested in doing this type of work (Database, Word, Excel and design projects)
- Perform general clerical duties and other related duties as appropriate
QUALIFICATIONS / SKILLS
- Friendly and courteous to staff and visitors
- Ability to learn Parks and Open Lands visitor center procedures, policies, public use regulations and facilities (manuals will be available to reference).
- Ability to learn about and understand the organization and operation of the County and of outside agencies as necessary to assist visitors
- Establish and maintain effective work relationships with County staff and the general public
- Learn, interpret and apply the operating rules and procedures of the Department
- Communicate effectively
- Provide own transportation
- Complete volunteer orientation and training
PARKS AND OPEN LANDS RESPONSIBILITY
- Prepare and train volunteers through orientation, tour, and on-the-job-training
- Organize and schedule volunteers in an efficient and timely manner
- Provide necessary equipment, supplies and supervision
- Evaluate effectiveness of volunteer training
- Provide feedback to volunteers
- Recognize and reward volunteers as valued team members
VOLUNTEER'S RESPONSIBILITY
- Present yourself in a professional manner in behavior and dress
- Be prepared for your first assignment
- Provide excellent customer service to staff and visitors
- Follow through with time commitment explained at orientation
- Keep accurate record of time worked on forms provided and turn them in on a monthly basis
- Be on time (call in if can't make it on scheduled work days)
- Provide own transportation to visitor center
RISKS
- Working with office equipment (copies, paper shredder, computers, fax machine, etc.)
- Paper cutter
- Repetitive motion tasks
