Performs
a wide variety of general and technical clerical duties within the Sheriff's
Office including maintenance of records and files, processing of statistical
data and reports, and providing information to the public, outside agencies,
and office staff.
ESSENTIAL FUNCTIONS: The
following statements are illustrative of the essential functions of the job and
do not include other nonessential or peripheral duties that may be required.

Accurately process, type, record,
and/or file a wide variety of records, reports, and materials using computer
equipment which may include memos, letters, complaints, declarations,
dispositions, warrants, or reports from handwritten copy or audiotapes.
·
Perform clerical functions in a
law enforcement environment; may type case reports which may include profane
language, distasteful or graphic portrayals, and in-depth descriptions of
criminal conduct.
·
Perform data entry, update,
research, storage, and retrieval using a variety of computer systems; maintain
appropriate records and files.
·
Maintain accuracy,
confidentiality, and security of all records and work area.
·
Exercise considerable independent
judgment in giving out information and referring inquiries to the proper staff
or agency.
·
Sort and distribute mail.
·
As required, compile, summarize,
and maintain a variety of statistical reports.
·
As required, take and/or
transcribe meetings notes.
·
May be asked to work in a secured
environment; in such position, would be responsible for screening visitors and
make decisions that may affect the safety of a facility.
·
As required, serve as a resource
person to the public or other employees in giving out information and referring
inquiries to the proper staff or agency; make independent judgments on types of
information to be provided based on a broad knowledge of requirements of the
position as well as knowledge of how previous similar incidents were handled.

EXPERIENCE AND EDUCATION: Any
combination of experience and training that would likely provide the required
knowledge and abilities is qualifying.
Experience:
· One year of responsible clerical
experience involving considerable public contact; accurately and efficiently
process information using a keyboard.
Education:
·
High School
diploma or GED required.
PHYSICAL REQUIREMENTS:
·
Must be able to clearly
distinguish specific colors and shades and hues of colors.
·
Must have acceptable hearing and
appropriate voice skills to be clearly understood on the telephone and in
person.
·
Must be able to sit up to two
hours at a time for a total of 6.5 hours in an eight-hour shift.
·
Must be able to stand occasionally
throughout the day for a total of 30 minutes in an eight-hour shift.
·
Must be able to bend, stoop,
kneel, or squat occasionally throughout an eight-hour shift.
SHERIFF’S TECHNICIAN - ALTERNATIVE
SENTENCING: In addition to the duties and qualifications listed in
the general Sheriff’s Services Technician I description located in the
beginning.
ESSENTIAL FUNCTIONS:
·
Assemble, code, record and
summarize a variety of data which may include inmate sentencing information,
court notification documents, probation office documents, or documents from
out-of-county agencies.
·
Assemble, code, record, and
summarize a variety of data which may include inmate sentencing information,
court notification documents, probation office documents, or documents from
out-of-county agencies.
·
Perform receptionist duties such
as directing incoming visitors and phone calls and providing general
information on policies, procedures, and regulations; assist both the public
and Alternative Sentencing Unit employees in person or on the phone; may
perform warrants checks on the Co-Courts system.
·
Provide clerical support to the
Alternative Sentencing Unit by having full knowledge of the specialized
requirements of the area.
·
Accurately enter bookings into
computer database as well as update and close cases.
·
Update the Probation Database and
run reports off the system.
·
Act as a specialized source of
information regarding Community Service and jail programs for inmates, staff,
probation, courts, and other agencies.
·
Take minutes at
Workenders/Community Service and Work Release meetings.
·
Verify accuracy of records
completed by Alternative Sentencing Unit staff; provide administrative support
for staff as it relates to ASU.
·
Distribute court mittimuses to
proper agencies and department personnel; interpret judges’ orders as to action
taken and distribute to the various programs.
·
Collect Community Service and
Workender Fees; verify cash box and fees collected all day.
·
Maintain and update appointments.
·
Refer client requests for
extensions of time to appropriate courts, DAs, Probation, or Case Manager.
·
May have contact with ASU clients
or inmates who have sensitive charges.
KNOWLEDGE OF:
· Standard bookkeeping practices
and methods including accounts payable, accounts receivable, payroll, and
journal entries.
ABILITY TO:
· Use the Co-Courts system to look
up specific case information as it relates to the Alternative Sentencing Unit.
SHERIFF’S SERVICES TECHNICIAN – CIVIL PROCESS: In addition to the duties and qualifications listed in

ESSENTIAL FUNCTIONS:

Advise civilian servers of civil
process needs and schedule evictions.
·
Collect fees, issue receipts, and
balance cash box.
·
Track refunds; type and balance
checks.
KNOWLEDGE OF:
·
Policies and procedures of the
Sheriff’s Office as related to the processing and managing of civil process
records.
·
State statutes, regulations, and
Colorado Rules of Civil Procedure for service of process.
LICENSES/CERTIFICATIONS:
·
Ability to obtain a Notary Public
commission.
SHERIFF’S SERVICES TECHNICIAN – DETENTION CENTER: In addition to the duties and qualifications listed in

ESSENTIAL FUNCTIONS:
·
Assemble, code, record, and
summarize a variety of data which may include serious crime offenses, booking
sheets, inmate sentencing information, court notification documents, Office of
Risk Management documents, or Probation Office documents.
·
Perform receptionist duties such
as directing incoming visitors and phone calls and providing general
information on policies, procedures, and regulations.
·
Sort and distribute US and inmate
mail.
·
Receive inmate funds, complete
inmate money inventory form, and enter funds on computer.
·
Observe visitors and inmates for
passage of contraband in the visiting room and prevent inappropriate behavior
as needed.
·
Perform receptionist duties which
may include dealing with professional visitors, the general public, tours,
and/or inmate visitors.
·
Print, copy, and assemble Jail
Division Policy and Procedure manuals and Inmate Handbooks.
·
As required, provide clerical
support to the Detention Center by having full knowledge of the specialized
requirements of the area.
·
Notarize documents for inmates and
staff.
·
Determine method of disbursement
or disposal of property that DOC sentenced inmates are not allowed to take with
them when transferred.
LICENSES/CERTIFICATIONS:
·
Current first
aid and community CPR certificates within 30 days of hire.
·
Ability to
obtain a Notary Public Commission.
SHERIFF’S SERVICES TECHNICIAN – INVESTIGATIONS: In addition
to the duties and qualifications listed in the general Sheriff’s Services Technician
I description located in the beginning.
ESSENTIAL FUNCTIONS:
· Prepare felony case filings and
arrest warrants from information provided by investigators for review by the
District Attorney’s Office and signature by a Judge.
· Prepare search warrants and
non-testimonial court orders and miscellaneous affidavits for signature by a
Judge.
· Assemble, code, record, and
summarize a variety of data which may include serious crime offenses, stolen
vehicles, crime reports, booking sheets, interrogation cards, inmate sentencing
information, court notification documents, Office of Risk Management documents
or Probation Office documents.
· As required, take and/or
transcribe meeting notes.
ABILITY TO:
· Perform typing functions at a
speed of 50 words per minute.
LICENSES/CERTIFICATIONS:
· Ability to obtain a Notary
Public commission.
· Ability to obtain NCIC/CCIC
certification.
SHERIFF’S SERVICES TECHNICIAN - RECORDS: In addition to the duties and qualifications listed in
the general Sheriff’s Services Technician I description located in the
beginning.
ESSENTIAL FUNCTIONS:
· Type law enforcement reports
from dictation or hard copy; proof read and review deputy’s reports; clarify
information with officer as needed; maintain log and report files; sort, file,
copy and distribute reports.
· Process traffic reports; verify
receipt of funds; distribute reports by mail or counter.
· Research and respond to requests
for information and reports from other agencies and citizens; determine proper
release of information; collect and verify receipt of fees.
· Use computer database systems to
type, enter, modify, and retrieve a wide variety of police reports and records
including search queries on warrants, vehicles, articles, persons, guns. etc.
· Assist department personnel and
the public in person and by phone performing record checks; copying police
reports and mailing out requested reports to outside agencies and insurance
companies in accordance with established regulations and provide general
information regarding department policies, procedures, and regulations.
· Microfilm, image, and/or purge
criminal justice records in accordance with approved retention schedule.
· Notarize various documents for
the public, agency employees, and others are required.
ABILITY TO:
· Perform typing functions at a
speed of 50 words per minute.
LICENSES/CERTIFICATIONS:
· Ability to obtain a Notary
Public commission.
· Ability to obtain NCIC/CCIC
certification.
SHERIFF’S SERVICES TECHNICIAN – TRAINING: In addition to the duties and qualifications listed in
the general Sheriff’s Services Technician I description located in the
beginning.
ESSENTIAL FUNCTIONS:
· Monitor training process to
ensure compliance with written directives.
· Coordinate activities with other
agencies.
· Help to identify training needs
for all agency positions.
· Schedule training sites; ensure
equipment is workable and in good condition, as directed by the Training
Coordinator.
· Identify in-house, local, and
outside training resources.
· Maintain adequate and
appropriate employee training records.
· Maintain lesson plans,
attendance records, instructor performance reviews, etc.
· Maintain agency media library
and training aids; review training aids and select appropriate additions to
ensure library is current and complete.
· Monitor skills requirements and
other mandatory training (such as firearms, driving, self defense, ERD,
hazardous materials, first aid, and CPR and AED) to ensure employees remain in
compliance with requirements.
· Monitor and track employee
completion of field training programs and receipt of appropriate documentation
of such.
LICENSES/CERTIFICATIONS:
· Possession of, or ability to
obtain a valid Colorado Drivers License.
SHERIFF’S SERVICES TECHNICIAN – TRANSPORTATION: In addition to the duties and qualifications listed in

ESSENTIAL FUNCTIONS:
· Process all paperwork necessary
to get inmates to court or video court.
· Assemble, code, record, and
summarize a variety of data which may include booking sheets, inmate sentencing
information, or court notification documents.
· Coordinate transportation of
inmates to other locations.
· As required, perform
receptionist duties that may include dealing with professional visitors, the
general public, tours, and/or inmate visitors.
· Collect fees, issue receipts,
and balance cash box.
