The Senior Legal Secretary is
a dynamic team lead position in the District Attorney’s adult felony division.
This position implements strategic objectives developed by the Department
Supervisor. A Senior Legal Secretary must be able to establish, maintain, and/or
modify team functions. A Senior Legal Secretary must be able to communicate
both verbally and in writing at a superior level and effectively perform
primary supervisory functions such as planning, organizing, leading, and team
unification. In addition, a Senior Legal Secretary must be able to perform a
variety of highly responsible, complex, and confidential administrative,
clerical, and technical duties in support of professional legal staff.
ESSENTIAL FUNCTIONS:

Provide lead accountability for
other employees within work unit which may include scheduling, assigning and
reviewing work, instructing/training in work methods, and providing input into
hiring and performance evaluation processes.
·
Act as a resource or expert in
program area, providing technical guidance to less experienced staff.
·
Provide confidential and complex
assistance and support to the District Attorney’s Office, professional legal
staff, and related law enforcement agencies including, but not limited to,
drafting, verifying, proofing, and processing various legal and court
documents, agendas, and correspondence, maintaining calendars, scheduling and
arranging meetings, and recording meeting minutes.

Evaluate, recommend, revise, and
administer policy and procedures and efficiency standards for legal secretaries
and the division’s administrative operations.
·
Assist with developing, analyzing,
and implementing, through strategic and technical planning, new procedures to
improve methods of operation and communication.
·
Implement changes to facilitate
legislative updates impacting business practices and operations.
·
Serve as liaison between
professional legal staff, witnesses, law enforcement agencies, penal systems,
and the general public to gather and exchange information and coordinate the processing of legal activities and
documents.
·
Draft and prepare complex
documents and case materials for court including dispositions, subpoenas, jury
instructions, motions, and writs.
·
Execute documents necessary for
court proceedings such as trial preparation, motions, revocations, Division of
Motor Vehicle appeals, dispositions, and sealing of records.
·
Contact individuals and agencies
to arrange receipt of reports and case materials.
·
Prepare, create, and maintain
extraditions and detainers requiring a high volume of contact with local and
national law enforcement agencies.
·
Utilize current technologies to develop,
implement, and maintain complex filing and record keeping systems.
OTHER DUTIES:
·
May serve as a Notary Public.
·
Perform other duties as appropriate
or necessary for performance of the job.
QUALIFICATIONS:
Knowledge of:
·
Principles,
practices, and objectives as related to legal research and procedures involved
in preparing, processing, and filing a variety of legal documents.
·
Supervisory principles,
procedures, and methods including selection, training, discipline, and
evaluation.
·
Complex
functions and requirements of national and local law enforcement agencies.
·
District Attorney and division
rules, regulations, policies, procedures, and standard operation procedures.
·
Operation
of standard office equipment including fax machines, copiers, and computers.
·
Correct
English usage, spelling, punctuation, and grammar.
·
Routine software and business
applications including, but not limited to, word processing, spreadsheets,
presentation software, and databases.
Ability to:
·
Establish and maintain effective
working relationships with other County employees, representatives of other
agencies and organizations, and members of the community.
·
Organize material and present
information clearly and concisely in verbal and written form.
·
Supervise and mentor
paraprofessional and support staff.
·
Analyze workflow, identify needs
of the division, and initiate and implement changes that contribute to the
efficiency of administrative and division operations.
·
Prepare and maintain the integrity
of confidential and sensitive records, files, databases, and statistical data.
·
Perform duties independently
without close supervision.
·
Accomplish
the assigned workload in a timely manner and meet established performance
standards and objectives.
·
Perform all
duties of a Legal Secretary I and II.
·
Type 55 wpm
(net).
Experience
and Training: Any combination of experience and training that would
likely provide the required knowledge and abilities is qualifying.
Experience:
·
Five years of increasingly
responsible experience in a legal secretarial or directly related field or in
the performance of similar duties and responsibilities in a law office, court,
or legal system.
Training:
·
High School Diploma or GED
supplemented by specialized legal secretarial or assistant training and
training in management and/or supervisory skills within the past year.
Equivalent to a Bachelor’s Degree from an accredited college or university
preferred.
Licenses/Certifications:
·
Maintain continuing education
hours annually or as required.
·
Possession of, or ability to
obtain, certification as a Notary Public.
·
Possession of, or ability to
obtain, certification as a legal assistant preferred.
