Every recorded document is assigned a reception number based on a computer maintained index. This reception number is unique for each document.

In the years prior to 1985 a Book and Page number was assigned in addition to the reception number, to each incoming document. The physical documents were photographed and the photographs were retained in a bound book, on microfilm, or on an aperture card. The book and page number that was assigned referred to the actual book and page number where the picture of the document could be found. If there was more than one page per document, only the first page number was included in the indexing.
Book and Page numbers require the format B####P####.

A release number can be a book and page or a reception number or any combination or multiples of the two. A release number indicates that a loan has been paid off, thus releasing the individual who had the loan. The release number is the book and page or reception number of the previously recorded document which initiated the loan.
Release numbers require the format B####P#### or R###...

Grantor and Grantee refers to the names on the document being recorded. Each document must have a minimum of two names for recording. One name is the Grantor, this is the person or entity who is doing the giving. The second name, Grantee, is the person or entity who is receiving. A document is not limited to only two names however, any given document may contain multiple Grantors and/or multiple Grantees.
In general, names are in the format Last First Middle.
Also, names are generally ordered by male name first, followed by the female name.
Names are searched for by specific words. Enter the Last Name and optionally a First Name. If both are entered, all records with both names are found, even if they aren't of the same name. You can wildcard the ending of a name by placing an asterisk (*) at the end of the name. For example "major*" will find MAJOR and MAJORS.
The legal description is a description of the property which the document being recorded affects. While there are documents that do not require or make mention of a legal description, the majority of recorded documents will have at least one and may have multiple legal descriptions associated with them. In the years prior to 1985, the legal description was keyed in the same field as the grantee. It followed the grantees name, separated by a '/'. The word "etal" was used at the end to indicate additional legal descriptions.
In general, legal descriptions are in the format Lot Block Subdivision or Section Township Range.
A code that represents the specific type of document being recorded. In years prior to 1985 this was a 7 character code and became a 3 character code in subsequent years.
